On a normal day, a building running proper CAFM looks like this. A resident reports a dripping tap through a portal or the building office. The request becomes a work order, is assigned to a technician, and both the resident and the manager can see its status. Meanwhile the system has already generated this month's scheduled tasks: the chiller service, the fire pump test, the filter changes. Each is closed off with notes and, ideally, photos.
At month end, the manager does not reconstruct what happened from memory. The system reports it: tasks completed on time, average response to requests, which assets keep failing. Tip: judge CAFM by the reports, not the demo
Any provider can show you a polished software screen. What tells you they actually use it is a real monthly report from a comparable building: PPM completion, response times, recurring faults. If they cannot produce one, the system probably is not doing much work.

You rarely buy CAFM as a separate line when a provider manages your building. It is usually folded into the facilities management or maintenance contract, which is why understanding it helps you judge whether a quote is fair. A provider that runs real CAFM tends to price a little higher and deliver more predictability, because they are not absorbing the cost of constant emergencies.
Where CAFM does appear as its own cost is when you license software yourself, typically per user or per building per month with a separate setup fee. As an indication only, small cloud tools start from a few hundred dirhams a month and rise with scale, while enterprise rollouts cost far more. These are ranges, not quotes. Prices vary by property size, provider and location, so get a written, itemised quote and compare scope before price. Warning: software is not a substitute for people
CAFM does not tighten a bolt or clean a filter. It directs and records work that competent, properly employed technicians still have to do. A slick system over a thin, under trained crew produces tidy reports about work that never really happened. Judge the team and the tool together.
